Guest transportation is the part of the day nobody remembers — when it works.

Most wedding transportation problems are timing problems: guests arriving during the ceremony, a shuttle held at a hotel while the photographer waits, or a vineyard parking lot that cannot take a full-size coach. We plan the day backwards from the ceremony start and the reception end, then size the vehicles to your guest list and the venue's access.

You will get a written schedule you can forward to your planner or venue coordinator, plus driver names and numbers before the day. If your venue has a shuttle requirement or a vehicle-size restriction, tell us and we will build the plan around it.

Frequently asked questions

How many guests can a wedding shuttle carry?

Vehicles range across 8–56 passengers. A minibus is the common choice for hotel loops, and a motorcoach moves a full guest list in one run. Larger weddings use several vehicles on a shared schedule.

Should we book a continuous loop or set departure times?

A loop suits venues within about 20 minutes of the hotel and keeps guests moving without a rigid schedule. Set departures work better for longer drives, wine country venues and ceremonies with a hard start time.

How early should we book?

Peak Saturday dates from spring through fall book well ahead. Send the date as soon as your venue is confirmed and we will tell you honestly what is still available.

Can the shuttle handle the end of the night?

Yes. Late departures are quoted with the rest of the day. Many couples schedule one early run for guests leaving after dinner and a final run at the end of the reception.

Who coordinates on the wedding day?

You get driver names and direct numbers before the day, and a dispatch contact for the whole itinerary, so your planner is not calling a general phone line.

Can you accommodate elderly guests or a wheelchair user?

Tell us in the request. Accessible vehicles are arranged around the boarding requirements you describe, and our team confirms what is available for your date.
